Build a Month-End FinanceOps Checklist
Close the month with reconciled accounts, a reviewed cash position, receivables and payables follow-up, clear exceptions, and assigned next-month actions.
Create a dated close checklist with evidence links, reviewer sign-off, open exceptions, and next-period actions without implying that one timeline fits every business.
Who this is for: Small-business owners, bookkeepers, and finance operations leads who need a repeatable close routine matched to their systems and available staff.
Start with current evidence.
- 01
Bank, credit-card, processor, loan, and other account statements for the period.
- 02
General ledger, trial balance, subledgers, and source transaction records.
- 03
Open invoice aging, customer disputes, vendor bills, and payment approvals.
- 04
Payroll, tax, inventory, fixed-asset, and journal-entry support appropriate to the business.
- 05
Prior close checklist and unresolved exceptions.
Move through the work.
Each step names the action and what completion looks like. Record assumptions and unresolved questions as you go.
- 01
Set cutoff and assign close owners
Choose a period cutoff and list each account or schedule to reconcile. Assign preparer, reviewer, due date, and substitute owner; scale the scope to the business and have the accountant define any required reporting or tax treatment.
COMPLETE WHENEach close task has one preparer, reviewer where practical, and due date.
- 02
Reconcile cash and key balances
Match bank, card, processor, debt, payroll, and other material balance-sheet accounts to statements and source records. Explain timing items, stale checks, transfers, and adjustments; attach evidence to the relevant reconciliation.
COMPLETE WHENMaterial balances tie or have a documented exception with an owner and resolution date.
- 03
Review receivables, payables, and obligations
Review aged invoices, disputes, unapplied cash, vendor bills, recurring commitments, payroll, and tax dates. Confirm payment status from source records and assign the next collection or approval action.
COMPLETE WHENEvery material overdue or upcoming item has a verified status and accountable next action.
- 04
Review results and exceptions
Compare actuals with the prior period, budget, or forecast using consistent definitions. Investigate unusual movements and missing records before explaining them; do not make unsupported causal claims from one variance.
COMPLETE WHENSignificant variances and unresolved exceptions include evidence, reviewer, and follow-up.
- 05
Set next-month actions and lock the record
Summarize cash position and near-term obligations for authorized readers, list changes needed to the forecast or controls, and preserve the close package under the organization's retention policy. Reopen only through a documented adjustment process.
COMPLETE WHENA reviewer signs off the package and each next-month action has an owner and date.
What changes the next move?
- A close is complete when required reconciliations and review steps are evidenced, not merely when a report is exported.
- Materiality, timing, tax treatment, and reporting requirements vary; confirm them with the responsible accountant or professional.
- Use access controls and a clear adjustment process when evidence changes after close.
Keep these visible.
- Posting a reconciliation difference to an unexplained catch-all account.
- Treating an aging report as proof that an invoice is collectible or a payable is approved.
- Changing locked-period figures without a traceable review record.
Check, assign, and continue.
Mark items as you verify them. Your selections stay in this tab and are not sent or saved.
