Build a Funding Follow-Up Workflow
Set stage definitions, owners, status rules, communication checkpoints, and escalation paths for funding-related follow-up.
Leave with a short stage map and follow-up standard that reduces dropped tasks while keeping consent, judgment, and financial decisions with people.
Who this is for: Operations teams coordinating document requests, status updates, and next actions across staff, partners, and business owners.
Start with current evidence.
- 01
Current stage labels and definitions used in daily work.
- 02
Who owns each stage, response, escalation, and exception.
- 03
Existing consent and communication preferences.
- 04
Document request list with purpose and completeness criteria.
- 05
Examples of stalled or reopened cases with personal details removed.
Move through the work.
Each step names the action and what completion looks like. Record assumptions and unresolved questions as you go.
- 01
Define stages by observable state
Choose a small set of stages such as received, needs review, waiting on business, waiting on partner, in human review, paused, and closed. Define what evidence moves a request forward and what action reopens it.
COMPLETE WHENTwo staff members would assign the same example request to the same stage.
- 02
Assign a single next-action owner
For every active stage, name the role responsible for the next action, due date, communication channel, and exception recipient. Add a backup role for absence or an overdue high-impact action.
COMPLETE WHENEvery open item has one accountable owner and a dated next step.
- 03
Set consent-aware checkpoints
Define when the team sends an acknowledgment, a missing-item request, a progress update, and a closure message. Use approved language, respect communication preferences, and require a human to check whether a message is still accurate before sending.
COMPLETE WHENEach checkpoint has a purpose, approved channel, consent condition, and review owner.
- 04
Specify escalation and pause rules
Set internal triggers for overdue actions, conflicting records, sensitive requests, and partner delays. A pause must preserve current status and explain what evidence or authorization is needed to resume.
COMPLETE WHENStaff can route a stalled item to a named role without implying an outcome or eligibility decision.
- 05
Review exceptions and stale work
At a recurring operations review, inspect only status, age, owner, next action, and exception reason. Correct stale records through the approved system process and document whether the workflow rule needs adjustment.
COMPLETE WHENThe review produces assigned actions and does not treat stale inventory as active opportunity or approval.
What changes the next move?
- Use status automation for reminders and task assignment only after stage and ownership rules are tested.
- Do not send a message that asserts approval, eligibility, pricing, or lender action unless an authorized person has verified that fact.
- If consent or communication preference is missing, route the case to a human review rather than increasing message frequency.
Keep these visible.
- Creating too many stages that no one uses consistently.
- Automating repeated messages without checking consent, context, or a recent response.
- Using a generic overdue label without assigning who resolves the blocker.
Check, assign, and continue.
Mark items as you verify them. Your selections stay in this tab and are not sent or saved.
